One technique that will increase your efficiency in responding to an inquiry in a pertinent and objective manner is if you allow the person who asked the question enough time to finish asking. Some people may take their time to specify exactly what they are looking for. Answering a question before it is clearly asked for can be as if you're being disrespectful. Don't presume you know where the person is asking you, hence you would like to assist the person in getting to the bottom of the matter. If you're able allow the individual to "ramble" while you take note of key elements. This gives you time to think through and formulate how to best respond to the question. The ability of listening gives you a higher chance of success in the answer to questions.

You have to establish if you are qualified to answer that question or someone else is. Can you legally talk about the subject (journalists can be very threatening even when you're not supposed to be to the company spokesperson)? What should the response be? In the meantime, pauses and periods of silence indicate that you aren't just making up whatever material is in your mind, but a thought through answer is coming.
