Before you jump into answering a question, make sure you have a clear mind what the question is about. It is not a bad idea to start by getting clarity on what's being asked. Make a polite request "I am sorry, I do not seem to know what you're trying to say What would you like to change?" It's better to be more concise in such situations than just ranting about with no knowledge or clarity. Remember that the point of answering questions is to make a contribution to the one who is in search of an answer. Don't take time. Seek understanding first.
One method that can increase your efficiency in responding to an inquiry in a pertinent and objective way is if you give the person posing the question time before asking. Some people take time to define exactly what they want to know. In answering a question prior to it is fully asked may seem an act of disrespect. Don't assume that you know exactly where the question is headed and should assist the person to understand the question. If you have time take the time to let the person "ramble" while you make note of the key factors. This also allows you time to think through and formulate one of the most suitable answers to the question. The ability to listen provides you an impressive success rate in your answering of questions.
You have to establish if you are qualified to answer this questions or someone else does. If you are not authorized, can you talk on that subject (journalists could be a source of trouble even though you're not suppose to be the company spokesperson)? What is the depth of your answer be? The pauses and silences let you know that you're not just churning through whatever materials you have in your mind but a clearly thought through answer is coming. You can prepare the person in the audience for an answer by asking "Let me think about it ..., let me think." ..". This way, the person will not sit there and think they haven't heard and you're just ignoring etc. Thinking about the situation also allows you to formulate statements that you'll feel good in the future. You will know the best method of answering with wisdom without leaving injuries or wounds that are not healed.
